This article will be useful to you if you are managing a partner referral program on PartnerStack and want more insight into your program's performance.

Performance reporting overview

The Performance reporting feature in PartnerStack provides a comprehensive and easy-to-use tool for visualizing your program's performance. In your Performance tab you can create, save, edit, and export detailed reports with graphs and charts.

Your Performance data offers insights into various metrics and trends and can help advise your program strategy. All teammates with reporting permissions can access and utilize this feature.

Pre-built performance reports

PartnerStack provides several pre-built reports designed to give you immediate insights into your program's performance. These reports help you understand key metrics and indicators of success.

Creating and saving reports

If there is data you would like to consistently report on outside of the pre-built reports, you can build and save reports for your whole team.

  1. Navigate to your Performance tab
  2. Click on a "Partner Performance," "Link Performance," or "Product Performance" card to launch a report
  3. Select your desired metrics, visualizations, groupings, and filters
  4. Apply the necessary sortings to organize your data
  5. Enter a name for your report
  6. Click "Save"
    1. Note: Saved reports are available to all teammates

Editing reports

Once you have created your own reports, you can edit them in the future to adjust the data returned to best suit your needs. Edits made to a report will affect all teammates. Ensure any changes you make are suitable for all teammates who may use this report. 

  1. Navigate to your Performance tab
  2. Click on the report you wish to edit from the "Custom Reports" table
  3. Adjust the metrics, visualizations, groupings, filters, and sortings as needed
  4. Click "Save"
  5. Choose to replace the original report or save it as a new report by providing a new name
  6. Click "Save"

Deleting reports

If you would like to remove a report from your custom reports, it can be deleted. Please note, that deleting a custom report will delete the report for all teammates. Confirm with your teammates that they no longer use a report before deleting it.

  1. Navigate to your Performance tab
  2. Click the three dots menu next to the report you would like to delete
  3. Click “Delete”
  4. Confirm the deletion

Deleting a report cannot be undone. If you have accidentally deleted a report you can recreate and save the report.

Exporting report data

You can export your data from within the report to share with your team or for further analysis. 

  1. Navigate to your Performance tab
  2. From the Custom Reports menu, or from within a report you would like to export, click the three stacked dots
  3. Click “Export” in the drop-down menu
  4. Choose your recipients (just yourself and/or teammates)
  5. Select "Export now" as the occurrence
  6. Click "Export now" 
  7. You will receive an email within 30 minutes with a download link
  8. Click "Download CSV" in the email and ensure you are logged in to your PartnerStack account to complete the export

Scheduling reports

Scheduling reports enables you to share a report with your team daily, weekly, or monthly basis. Scheduled reports can be edited, paused, or archived.

Note: Only saved reports can be scheduled

Scheduling reports:

  1. Navigate to your Performance tab
  2. From the Custom Reports tab, or from within a report you would like to export, click the three stacked dots
  3. Click “Export” in the drop-down menu
  4. Choose your recipients (just yourself and/or teammates)
  5. Select how often the report should be sent: Daily, Weekly, or Monthly
  6. Specify the time of day the report should be sent
  7. Choose the Start Date for when the schedule will begin
  8. Confirm by clicking “Schedule Export”

The selected recipients will receive an email with a download link at the scheduled time.
To download a scheduled report, click the "Download CSV" link in the email and ensure you're logged in to your PartnerStack account.

Pausing, editing, and archiving scheduled reports

Editing scheduled reports:

  1. Navigate to your Performance > Scheduled Reports tab
  2. Click the three stacked dots next to the report you would like to edit
  3. Click “Edit schedule”
  4. Update the Recipients and Occurrence sections as desired
  5. Click “Update schedule export” to save your changes

Pausing scheduled reports:

  1. Navigate to your Performance > Scheduled Reports tab
  2. Click the three stacked dots next to the report you would like to pause
  3. Click “Pause schedule”

Archiving scheduled reports:

  1. Navigate to your Performance > Scheduled Reports tab
  2. Click the three stacked dots next to the report you would like to archive
  3. Click “Archive schedule”
  4. Click “Delete” to confirm 
    1. Note: this action can not be undone

Using filters, groupings, and sorting

Performance data can be filtered, grouped and sorted to help you narrow your focus. Filters may vary slightly depending on which report you are viewing and are designed to enhance your analysis. Multiple filters, groups, and sortings can be selected at once to further customize your report.

Applying filters

  1. Navigate to your Performance tab
  2. Click on the report you wish to explore
  3. Click on the "Filters" button in the top right corner
  4. Search and select the filters you wish to apply.
    1. You can apply multiple filters to refine the data
  5. To modify your filters, you can either clear a single filter or reset all filters at once

Applying groupings

Two levels of grouping can be applied at a time for more detailed insights. Available groupings will differ slightly depending on which report you are viewing.

  1. Navigate to your Performance tab
  2. Find the report you wish to explore and click on it
  3. Click "Group by" in the top right corner
  4. Select your “Primary grouping”
  5. Optional: If desired, select your “Secondary grouping”

Sorting columns

Columns can be sorted by ascending and descending by clicking on the column header. 

Your performance data can be simultaneously sorted by up to 3 columns at a time to allow you to customize the data shown.

  1. Navigate to your Performance tab
  2. Find the report you wish to explore and click on it
  3. To sort by multiple columns, hold down the "Shift" key and click on the headers of the columns you want to sort
  4. Ensure you hold "Shift" while clicking each column header to maintain the sorting across multiple columns
  5. To undo the multiple-column sorting, simply click on an unselected column header without holding "Shift"; this will revert to single-column sorting

Performance tab FAQs

  1. Who can create and save reports?
    • Any user with reporting permissions can create and save reports.
  2. Is there a limitation on saved reports I can create? 
    • No, there is no limit on the number of saved reports you can create.
  3. Will all teammates see the reports I create?
    • Yes, saved reports are visible to all teammates.
  4. Can I export reports to share with others?
    • Yes, reports can be exported in CSV format.
  5. Is there a limitation on rows in CSV export files? 
    • No, there is no limitation on the number of rows in CSV export files.
  6. Can I schedule reports to share with others?
    • Yes, you can schedule reports to be automatically sent to your teammates, as long as they also have user accounts in PartnerStack.
  7. Can I schedule reports to share with my partners?
    • No, this feature is currently unavailable. As a workaround, you can download the report and share it using the in-app messaging feature.
  8. Can I schedule multiple exports for one report?
    • No, each saved report can only have one scheduled export. However, you can edit the existing schedule or duplicate the report and set up a different schedule.
  9. Why isn't scheduling available for all reports?
    • Scheduling is only available for saved reports. Please ensure your report is saved before attempting to schedule it. 
  10. How do I know which pre-built report to use?
  11. What if I accidentally delete a report?
    • Deleted reports are permanently removed and cannot be recovered. Ensure you confirm deletions carefully.
