Reviewing partner rewards

Who is this article for?

This article will be useful to you if are a company on PartnerStack looking to review your partners' rewards.

While your partners are promoting your business and earning rewards, you have the ability to review those rewards as they come in before the invoice is created at the end of the month.

On the partner's dashboard, these rewards will be in a "pending" status until they are approved by your company. 

Navigate to the Performance & Rewards > Rewards & Invoices tab on the left-hand side of your dashboard and then click on the 'Review Rewards' sub-tab.

Here you will be able to: 

  • View a list of pending rewards for the current month
  • Review reward details such as customer information etc. 
  • Approve or decline pending rewards before the invoice is created

Reward statuses

Rewards can have the following statuses:

Status Context
New This is a reward that has not been reviewed yet
Approved Selecting this status will move the reward to the current or upcoming invoice
Declined Selecting this status requires a reason for the decline, which is shared with the partner within their partner dashboard
Hold Selecting this status puts a brief pause on a reward being paid out so that the company can investigate or gather information before approving or declining
Paid Selecting this indicates that you have determined this reward has been paid already and will not pay out the reward again.

How to view and update rewards

To view details about a reward, you can click anywhere on the line item you want to view. This will open a box with two tabs; 'Instant Detail' and 'Bulk Actions'.

Instant Detail window

The 'Instant Detail' will display the partner name, customer name, the amount, the created date, and the status of the reward (when a reward is created, the status will always be 'New') on the top portion of the box.

You can change the status of the reward by updating it to either Declined, Hold, Approved, or Paid

The bottom portion will display the group the partner is in, and the offer and trigger that applies. 

Key tip: Bypass flagging rewards on the invoice by approving or declining the rewards ahead of time.

Bulk Action window

When you select one or more reward items, you have the option to bulk update these rewards with the same status. 

After selecting one or more reward items, the 'Update Selected Rewards' button becomes available to click on:

This will open the Bulk Actions box:

You can bulk change the status of the selected reward(s) by updating to either Declined, Hold, Approved, or Paid.

Approving rewards

You have the option of approving all-new rewards by clicking on 'Approve all New Rewards'. Once approved, they will be added to your monthly reward invoice.

Rewards on hold

The option to decide later if you want to approve an award can be done by selecting the 'Hold' status. 

You can do this inside the 'Instant Detail' or 'Bulk Actions' pop-up box. Once the hold status is selected, you will be prompted to provide a reason which will appear on the partner's dashboard. You can either write a custom reason or select 'Requires investigation':

Declining rewards

If you see a reward that should not be paid out to a partner, you will want to update that reward to a 'Declined' status.

You can do this inside the 'Instant Detail' or 'Bulk Actions' pop-up box. Once the declined status is selected, you will be prompted to provide a decline reason which will appear on the partner's dashboard. You can either write a custom reason or select a reason from the drop-down list:

Declined rewards will not appear on the monthly reward invoice. 

Reward FAQs

Do I need to manually approve all of my rewards?

Yes, this allows you to review and confirm your partners’ rewards before they get paid.

Please note: PartnerStack will automatically approve all eligible Rewards (status of “New” and generated during the current invoice cycle) and add them to the current invoice at the point of invoice creation at the end of each month.

Can I update the status of a reward if it has already been approved?

No, an approved reward cannot be updated.

However, you can use the “Report issue” feature to remove reward items that are already on an invoice.

Can I update the status of a Reward if it has already been declined?

Yes, a “Declined” reward can be updated.

What happens when I approve a Reward?

The reward is automatically included in the next Invoice.

The partner sees a notification in their dashboard but doesn’t receive an email notification.

What happens when I decline a Reward?

Declining a reward requires a decline reason to provide context to the respective partner.

The partner sees a notification in their dashboard but doesn’t receive an email notification.

Can I bulk approve rewards?

You can use the checkboxes to select multiple rewards and approve or decline them as necessary.

Declining multiple rewards will require a decline reason to be provided. This decline reason will be applied to all selected rewards.

What happens to rewards if I don’t approve or decline before the Invoice is generated?

PartnerStack will automatically approve all eligible rewards (status of “New” and generated during the current invoice cycle) at the point of Invoice creation.

Can I remove a reward line from an Invoice?

Yes, the “Report issue” option on the invoice allows you to remove rewards already placed on an invoice so long as you provide a reason for the removal. This reason is displayed to the partner for transparency on why they didn’t earn the reward.
