Reporting on your partner program performance

This article will be useful to you if you are managing a partner referral program on PartnerStack and you are needing insight on your program's performance.

Overview

Within PartnerStack there is a reporting suite that allows you to access comprehensive data and reporting on your partner program, including revenue, signups, and paid customers.

Located within the Analytics tab within your PartnerStack account, this reporting suite will allow you to access core reporting, filter it down to the timeframe or specific areas you want to see, and download and manipulate the data in external tools such as Excel.

To locate the reporting suite, log in to your PartnerStack account and navigate to Performance & Rewards > Analytics.

Reporting options

Once you've landed on the Analytics page, you'll see seven options along the top:

  • Revenue
  • Stats
  • Customer map
  • Link performance
  • Deals** (if enabled for your plan)
  • Partners
  • Partner training** (if enabled for your plan)

Revenue

Within Revenue, there are two options: New revenue and Total revenue. They have very similar information on them, but both cover slightly different data.

New Revenue

New revenue provides reporting on customer acquisition and refers to the first purchase from new customers. There is an exception - if the customer made multiple purchases on the same day, all transactions from the same day are included in New revenue.

Within the New revenue page, you'll see a series of numbers, graphs, and charts. At the top, there are hero numbers. These hero numbers are key metrics and data points that will give you quick insight into some common program statistics.

These hero numbers include:

  • All-time new revenue - The first purchases made by a customer. Counts multiple if on the same day
  • Previous month new revenue
  • Monthly new revenue to date
  • Signups - The total number of customers who have signed up (includes both customers who have and have not paid)
  • Paid customers - the total number of customers who have made 1+ transactions

Some of the hero numbers will not adjust when certain filters are applied. See Filtering revenue for more information.

To learn exactly what data is included in each number, you can click into them to drill down.

Below the hero numbers, you'll see a chart for New revenue by group. You can toggle the groups included in this chart off and on by clicking on the group name. If the name is greyed out, it is not visible in the chart.

Below that, you'll see charts on Group performance and Partner manager performance

  • Group performance provides detailed insight into how your program's groups are performing, with data such as new revenue, new signups, new paid customers, and new partners. 
  • Partner manager performance provides detailed insight into how your partner managers are performing, with data such as new revenue, new signups, new paid customers, and new partners.

Total Revenue

Total revenue provides reporting on historical program-wide performance and refers to all purchases by all customers.

Within the Total revenue page, you'll see a series of numbers, graphs, and charts. At the top, there are hero numbers. These hero numbers are key metrics and data points that will give you quick insight into some common program statistics.

These hero numbers include:

  • All-time total revenue - All purchases made by a customer
  • Previous month total revenue
  • Monthly total revenue to date
  • Signups -The total number of customers who have signed up (includes both customers who have and have not paid)
  • Paid customers -the total number of customers who have made 1+ transactions

Some of the hero numbers will not adjust when certain filters are applied. See Filtering revenue for more information.

Below that, you'll see charts on Group performance and Partner manager performance

  • Group performance provides detailed insight into how your program's groups are performing, with data such as total revenue, total signups, total paid customers, and total partners.
  • Partner manager performance provides detailed insight into how your partner managers are performing, with data such as total revenue, total signups, total paid customers, and total partners.

Filtering revenue

There are seven options for filtering the New revenue and Total revenue tabs. Just below the description of the tab, you'll see:

  • Timeframe - there are a variety of options for timeframe available which allow you to be very specific with the dates of the data
  • Group name - allows you to select or exclude your existing groups from the data
  • Partner Manager - allows you to select or exclude data based on the partner manager
  • Is Marketplace (y/n) - allows you to include or exclude data specifically from partners acquired through the PartnerStack network

Once you've input your desired filters, you'll need to refresh the data by clicking the "Reload" circular arrow icon in the top right of the reporting section:

In the top right of the tab, you'll see some quick pick timeframe references to speed up accessing commonly used timeframe filters:

  • Monthly
  • Quarterly
  • Yearly

These three filters automatically update when selected, no need to run the data again.

Some of the hero numbers along the top will not adjust when certain filters are applied.

  • The All-time New/Total Revenue query will not adjust with either the timescale or timeframe filters 
  • The Previous Month New/ Total Revenue, and Monthly New/ Total Revenue to Date queries will not adjust with the timeframe filter
  • The Sign Ups, and Paid Customers queries will adjust with all filters

Exporting revenue reports

Along with an option to download all data within New revenue and Total revenue, on almost all numbers, charts, and graphs within each of the revenue options, there is an option to download that specific data.

Not all have this option. If the option is not available for the report you need, downloading all data will include the information you are looking for.

To download all data within either New revenue or Total revenue, follow these steps:

  • Open the tab for the revenue option that you wish to download
  • Select the three vertical dots in the top right of the tab (below Yearly)
  • Select download
  • Select desired format (PDF or CSV)

To download specific data within either New revenue or Total revenue, follow these steps:

  • Locate the data option that you wish to download
  • Select the three vertical dots in the top right when you hover over the data 
  • Select download
  • Select desired format (PDF or CSV)

Partners

Partners reporting provides reporting on program-wide partner performance and refers to all purchases by all customers. You can find information such as top-performing partners, which partners have brought in a paying customer in a given time frame, which partners have submitted deals within a given time frame and more.

Within the partners page, you'll see a series of numbers, graphs, and charts. At the top, there are hero numbers. These hero numbers are key metrics and data points that will give you quick insight into some common program statistics.

These hero numbers include:

  • Partners with signups- Count of partners that have referred any customers, whether or not the customer has purchased
  • Partners with paying customers - Count of partners whose customers have made purchases
  • Partners that have submitted leads - Count of partners that have submitted leads *if you have leads enabled on your plan* 
  • Partners that have registered deals - Count of partners that have registered deals *if you have deals enabled on your plan*
  • Partners that have open deals - Count of partners that have open deals *if you have deals enabled on your plan*

Each hero number will show a number of partners that have achieved that metric in the selected time frame, groups, and partner managers as per the applied filters. Note that the partner-specific filters will also apply, so if you filter down the report to a single partner, the hero numbers will show either a value of 0 or 1, if the selected partner matches the criteria or not, respectively.

 

All hero numbers can be drilled down into to get further detail on who the partners are that make up that count.

To learn exactly what data is included in each number, you can click into them to drill down. You can then download all of the data included by using the three dots in the top right-hand corner.2021-04-08_16.36.50.gif

 

Below the hero numbers, you'll see a stacked bar chart for New Partners by group, which will show the number of partners that have joined each group at each point in time. This chart will be filtered by all filters available (timescale, timeframe, group name, partner manager name, partner name, partner email).

These sections can be drilled down into as well to see the specific partners that make up the counts.

You can toggle the groups included in this chart off and on by clicking on the group name. If the name is greyed out, it is not visible in the chart.

There are two tables that show performance on an individual partner level. The first table shows revenue performance and the second shows signup/ paid customer metrics.

 

 

The bottom of the Partners analytics page includes some more specific partner data.

Partner Metrics by Country displays the countries your partners are located in. Note this data is based on the address information your partners enter in their PartnerStack profile settings. 

Pending Rewards displays all the rewards a partner has earned but has not cashed out. This includes a partner payment status field to indicate which payments are still pending approval & invoicing vs which are ready for a partner to withdrawal. 

Terms of Service displays the percentage of partners that have accepted or not accepted your program terms of service. You can click into each value to see a more detailed list with partner information.

Link performance

Track where your partners are sharing their links and getting clicks; view the most common sources and view each link's individual performance.
Note: The link performance tab will only work with a functioning JS snippet installation

 

Why can't I see specific social media posts?

Some social sites like Facebook and Twitter are now hiding the originating post link (due to their redirection servers). At this time there is no way around this.

 

Deals

Note: Deals and deals reporting are only available on specific plans. If you're unsure of your plan, reach out to your Customer Success Manager or email Support@PartnerStack.com

Within the Deals dashboard, you will be able to view and download data on:

  • $ value of deals by stage, by expected close date

  • Count of deals submitted, by the date they were created in PartnerStack or in the case of API, created_at date

A table of information from submitted deals:

  • Account Name
  • Current Deal Stage
  • Expected Close Date (yyyy-mm-dd)
  • Expected Deal Value
  • Partner Email
  • Partner Key

Filtering deals

Towards the top of the Deals page, you'll see a few options for filtering your deals data. You will be able to filter the deals reporting using 4 values:

  • Timeframe
  • Deal Stage
  • Group Name
  • Partner Manager

To apply a filter to the deals data, select which filter you are wishing to apply to your reporting. Select the desired option from the dropdown menu.

 

There is a lot of flexibility with the filtering. You can get very granular, apply multiple filters, etc.

Exporting deal reports 

Along with an option to download all data within Deals, on almost every number, chart, and graph within each of the deal data points there is an option to download that specific data.

To download all data within Deals, follow these steps:

  • Open the Deals tab 
  • Select the three vertical dots in the top right of the tab
  • Select download
  • Select desired format (PDF or CSV)

Partner Training

Partner training reporting provides reporting on your partners' training progress within the Analytics suite, making it easier than ever to track and optimize partner training programs with actionable insights. The new reporting data can be viewed under the Training tab and is displayed if the training module feature is enabled in your plan.

You can find information such as which partners have started or completed a training course, which partners have not yet started or not clicked on a course, course progression by a partner, completion data, and more. The data in this dashboard will be refreshed every 2 hours.

Filtering Partner Training Data:

By default, the data will show all the partners, courses assigned to them, their course progress, completion, and assigned data. There are 6 options for filtering training reporting data. Just below the description of the tab, you'll see the following options:

  • Partner: allows you to search for partners by their first name or last name
  • Partner Email: allows you to search and select partners by their email
  • Partner Team: allow you to select or exclude your existing partner teams from the data
  • Group name: allows you to select or exclude your existing groups from the data
  • Course: allows you to select or exclude your existing course selected from the data
  • Course Status: allows you to view partners based on the 4 course statuses:
    • Not enrolled in any courses: The partner has been assigned the course but has not clicked on the course in Litmos yet
    • Not started: The partner has been assigned the course, clicked on the course in Litmos but has not started the course.
    • In progress: The partner has started the course and the percentage completed will be reflected next to it.
    • Completed: The Partner has completed the course and the date of completion will be reflected next to it.

Once you've input your desired filters, you'll need to refresh the data by clicking the "Reload" circular arrow icon in the top right of the reporting section.

Exporting Partner Training Data:

Along with an option to download all data within training, there is an option to download specific data based on the filters selected. To download data in CSV or PDF:

  • Open your Analytics > Training Tab
  • Select the three vertical dots in the top right of the tab
  • Select download
  • Select desired format (PDF or CSV)
