Inviting, removing, moving and updating partners

Who is this article for?

This article will be useful to you if are a company on PartnerStack looking to invite, add or remove partners from your program.

Adding partners to your program

Once you've found partners you wish to have in your program, you can have them join by:

  • Sharing a group join link
  • Emailing the partner an invite
  • Importing partners using the in-app importer
  • Adding partners using the API

Share a group join link

If you know which group you want the new partner to join, you can send them a link directly. When a partner clicks on the link, they will be prompted to log in to their PartnerStack account or create a new one.

If you have an application form enabled on that group, they will be prompted to fill out and submit the application form. Once you have approved them, they will be added to that group.

To find a group's join link:

  1. Log into your PartnerStack account
  2. In the menu on the left-hand side, select "Groups"
  3. Click on the group you want the partner to join to open it up
  4. Select "Group Settings" in the menu that appears along the top 
  5. Look for "Copy the group URL" and hit copy
  6. Share the link with your partner on any platform (email, X (formerly Twitter), etc)

Email the partner an invite 

You can send a partner an email invitation directly from within your PartnerStack account.

If you use application forms, sending an email invite will override the need for the partner to fill out an application form, and your partner will be joined to the specified group directly once they have created their account. If they already have an account on PartnerStack, they'll need to log in to accept the invite.

To send an email invite:

  1. Log in to your PartnerStack account 
  2. In your All Partners tab click on the "Invite Partners" tab in the top menu
  3. Click "Invite Partners" on the right-hand side of the page
  4. In the drawer view that opens select "Invite individual partners"
  5. Select the group you would like the partner to join, enter their email, and click "Next"
  6. Customize your invite email and click "Send"

After you have customized your invite email you can also save the email content by selecting the "

Unaccepted invites can be resent or deleted at any time from your "Invite partners" tab by clicking the stacked dots beside the partner, and selecting "Delete invite" or "Resend Invite" from the dropdown. 

Inviting partners to a new or existing partner team

If you would like to create a new partner team and invite both the partner team owner and members, or if you would like to invite a new teammate to an existing partner team, this can be done from your All Partners > Invite Partners tab.

To invite a partner team owner and teammates:

  1. Log in to your PartnerStack account 
  2. In your All Partners tab click into the "Invite Partners" tab in the top menu
  3. Click "Invite Partners" on the right-hand side of the page
  4. In the drawer view that opens select "Invite a new team of partners"
  5. Select the group you would like the partner team to join, enter the partner team owner email and click "Next"
  6. Enter the partner team members' emails (up to a maximum of 50 emails) and click "Next" or skip this step if you are not ready to add team members
  7. Customize your invite email and click "Send"

Can I change the owner of a partner team or account?

Once set, a partner team owner cannot be changed from the company dashboard. Please ensure you have confirmed with the partner who should be set as the partner team owner.

Once the team owner has been set, the current team owner can choose to change the team owner in their team, however, this can only be done from the partner's dashboard. For more information see the Managing a partner team support guide.

To invite a teammate to an existing partner team:

  1. Log in to your PartnerStack account 
  2. In your All Partners tab click into the "Invite Partners" tab in the top menu
  3. Click "Invite Partners" on the right-hand side of the page
  4. In the drawer view that opens select "Invite teammates to a partner team"
  5. Search for the desired partner team by team name, or team owner email
  6. Enter the partner team members' emails (up to a maximum of 50 emails) and click "Send"

Note: As partner team members are being invited to an existing partnership, you will not see their partner team invite in your invites list. 

Teammates that have been invited to a team by a company will not be given immediate access to their accounts. They will need to be approved by the partner team owner, or an admin from the team.

Import partners

If you have multiple new partners you wish to have join your program, you can import them via CSV. For more information on importing, please see our Technical Docs: Universal Importer.

Note: When importing partners toggling the ‘send invite emails' option on will send all imported partners an email to ‘claim their account’. If you’re not ready for partners to login to the portal, ensure this is toggled off.

Use the API

For adding multiple partners at once, you can also use the PartnerStack API. Partners created via API will need to accept the invitation sent via email to create their PartnerStack accounts.

Network partner applications

If your program is listed in the PartnerStack Marketplace partners that have been approved to the PartnerStack Network will be able to apply to your program. If a partner has not yet joined the PartnerStack Network, they will be prompted to join before they can apply to your program.

If a partner has been declined from the PartnerStack Network, or if their application is currently pending but you would like them to be able to apply directly to your program, you can send them your Group join link. If you would like the partner to fill out an application before joining your group, please ensure you send a group join link for a group that has applications enabled.

Partner applications using the Network Profile

Our Network team has enabled select, high-performing partners to quickly apply to programs using their Network Profile. For this reason, you may see partner applications that do not include all the required fields on your application form. 

If you require specific information from the partner to process their application, reach out to them using your Messages tab to gather any additional details, or decline their application and request they fill out the full application form when reapplying.

Removing partners from your program

For a variety of reasons (i.e. inactivity), you may wish to remove a partner from your program. Once a partner is removed from your program, they will no longer be able to see your program within their PartnerStack or any referral information associated with it. When a partner is removed from your program they will not appear in your All Partners tab, however, you can find their historical program activity in your all partner export should you wish.

If you have removed a partner from your program, they will be unable to rejoin with the same email address unless you send them an email invite.

If you choose to re-invite a partner to your program after they have been removed please note this will create a second, new partnership. The historical data associated with the previous partnership is not reinstated.

Please consider carefully before removing a partner from your program.

To remove a partner from your program:

  1. Log into your PartnerStack account
  2. Click into your All Partners tab in the menu on the left-hand side
  3. Use the search field or filter to locate the partner(s) you wish to remove
  4. Select the partner(s) by selecting the box to the left of the partner's name
  5. Once the partner(s) have been selected, click on "Actions
  6. In the drop-down menu that appears, select "Delete Partners"

From here, you can choose if you want to "Deactivate partner links" or not. Deactivating the partner links means that if anyone clicks on the partners' links after their links were deactivated will land on a 404 page and not your website. If you do not choose to deactivate a partner's link when removing them from your program, their link will continue to redirect to your website, however activity will not be tracked to the partner, and commissions will not generate.

Deactivating partner links when removing a partner is a great solution if you are concerned that the partner is referring fraudulent customers. If the partner is not fraudulent, deactivating their links will prevent possible customers from accessing your site.

Moving partners between groups

You may need to move a partner between groups for a variety of reasons, including wanting to change the commission available to them or needing to change the partner segment they fit into.

If you need to move a partner between groups, you can do so following these steps:

  1. Select the partner(s) you are wanting to remove from your program on the All partners page 
  2. Click on the Actions button that turns blue when a partner is selected
  3. Select Update Partner Group from the drop-down menu that appears
  4. Select the group you want to move the partner into within the Move to group field
  5. Click Group Move to confirm the move and complete the action

Updating partner information

Can I change a partner's name or email?

To ensure partners have full control over their account details, profile settings such as a partner's name or email can only be updated by the partner themselves. The Updating your account email and profile support guide is a great resource that walks partners through the steps to update their accounts. Updating a partner's partner key

A partner's partner key is created using the partner's first and last name, when their account is created, unless the partner is imported or created by API with a specific partner key.

If you use the partner key shortcode in link UTMs your partner's first and last name will show in their fully expanded link. If a partner does not want their full name showing in their expanded link, you can update their partner key using the Update Partnerships API.

Partner keys are alphanumeric and cannot contain spaces, capitals or special characters.
