Understanding Emails your team receives in PartnerStack

Program managers and teammates who want to understand which PartnerStack emails their team receives when partners take action — and who on the team gets them.

What emails does your team receive?

Emails your team receives are automated emails PartnerStack sends to people on your PartnerStack account when something happens in your program — for example, a partner submits a lead or sends a message.

These are separate from:

  • Email campaigns you build for partners
  • In-app notifications in the PartnerStack dashboard
  • Partner emails sent to partners (approvals, payouts, password resets, and similar)

Why use this reference?

Use this article when you need to know:

  • Who gets notified for a specific partner action
  • Whether notification depends on role or permission
  • What your team can change in settings today

Example: new lead email

When a partner submits a lead, PartnerStack emails only the Admin (Owner) — not every Admin on the account.

If that Owner’s inbox isn’t monitored, your team can miss the alert. There’s no setting today to send new-lead emails to multiple teammates. Teams that need broader alerts usually use a webhook or integration (for example, Zapier).

How PartnerStack decides who gets notified

PartnerStack does not use one global rule like “email all Admins” or “email all Managers.” Each email has its own recipient rule.

Leads

You cannot currently choose a different teammate or role to receive new-lead emails in PartnerStack settings.

Messages

Message digests respect each user’s Chat notifications preference in their profile.

Applications

There is no separate “every new application submitted” system email to everyone on your team. Pending-application reminders are digest-style and go to a single recipient.

Check your dashboard for pending applications regularly — don’t rely only on email for application review.

Deals

There is no system email when a partner first submits a new deal (for example, when it is created in Working).

What you can (and cannot) control

What you can control today

In your PartnerStack user profile settings, teammates can typically manage:

  1. Chat notifications — whether they receive message digest emails
  2. Commission invoice creation emails — whether they receive invoice-created emails (where available)

What you cannot control today

  • Choose a custom recipient list for new lead emails
  • Fan out lead or deal emails to every Admin or Manager by role
  • Get an email every time a new deal is created
  • CC your team on partner-facing emails
  • Turn off most core system emails per program

If you need alerts in Slack or another tool, use PartnerStack webhooks or an integration (for example Workato) for the events you care about.


Frequently asked questions

Who is the Admin (Owner)?

The teammate marked as Owner under Settings → Teammates. In the list, you’ll see their role with (Owner) next to it. This is usually an Admin, but it is specifically the Owner — not every Admin.

Can I change who receives the “new lead” email?

Not in PartnerStack settings today. That email always goes to the Admin (Owner). If you need a different distribution list, use a webhook or integration on lead-created events.

Does notification depend on Admin vs Manager vs custom role?

Only for some emails. Message digests, imports, and billing alerts can depend on product permissions and group access. Lead submitted and deal Pending / Closed Won emails do not — they go to the Admin (Owner).

Can my team be CC’d on emails partners receive?

No. PartnerStack does not support CC’ing your teammates on partner emails.

Will every Admin get an email when a partner messages us?

No. Message emails go to teammates who can access Messages for that partner’s group — not automatically to every Admin.

Do we get an email when a partner submits a new deal?

No — not when the deal is first created. Your team gets a deal system email only when the deal moves to Pending, or to Closed Won if the group does not require approval.

Why did our team stop getting lead emails?

Confirm which teammate is the Admin (Owner) and whether that inbox is still monitored. Lead emails do not automatically move when day-to-day program ownership changes unless the Owner designation changes.

Can partners turn off the emails my team receives?

No. Partner notification settings only affect emails partners receive (for example program updates and message digests). They do not control emails sent to your team.
